1. Information We Collect

We collect various types of information to provide and improve Biz Card Maverick’s Services. This includes information you provide directly, data collected automatically, and information from third parties or integrations.

  1. Information You Provide to Us:
  • Registration Information: When you create an account, we may collect personal details such as your name, email address, phone number, job title, and company name.
  • Billing Information: If you purchase any paid features or subscriptions, we collect payment details (e.g., credit card number, billing address) via secure third-party payment processors.
  • Business Card Data: When you scan a business card using Biz Card Maverick, we process the card’s image to extract contact information such as the individual’s name, title, company, email address, phone number, and other printed details. By scanning a business card, you represent that you have obtained the card owner’s consent (through your interaction with them) to collect and use their contact information. We do not present an in-app prompt to the business card owner for consent; instead, we rely on the social and professional context in which the card was provided as permission to process the card and follow up with that contact.
  • Support and Communication: If you contact us for support or communicate with us via email or chat, we will collect any information you choose to provide during the exchange (such as your contact details and a description of the issue).
  1. Information Collected Automatically:
  • Usage Data: We collect data about how you interact with our app and Services. This includes timestamps of scans or logins, features you use, pages or screens viewed, and other usage metrics.
  • Device and Technical Data: We may collect information about the device and network you use to access our Services, such as your device model, operating system version, unique device identifiers, IP address, and general location (e.g., city or region). This technical data helps us troubleshoot problems and improve compatibility and performance.
  • Cookies and Tracking Technologies: Our website may use cookies and similar technologies to remember your preferences, understand how you use our site, and personalize your experience. You can usually control cookies through your browser settings. (For mobile app usage, analogous tracking may occur via device identifiers; you can reset or limit these in your device’s settings.)
  1. Information from Third Parties and Integrations:
  • Integrated Services (GoHighLevel via CFMedia): Biz Card Maverick integrates with third-party platforms to enhance functionality. For example, if you choose to sync contacts with Client Focused Media’s (CFMedia) CRM system or a related platform such as GoHighLevel, we will receive and transmit the necessary contact data to facilitate that integration. This might include the contact details extracted from business cards and any notes or tags you associate with them. We handle this data exchange securely and only for the purposes of syncing your contacts as instructed.
  • Automations (Make.com): We may use third-party automation services like Make.com (formerly Integromat) to connect Biz Card Maverick with other apps or services. These automation platforms may temporarily receive and process your data (for example, to automatically send an email or to add a contact to your CRM) under our instructions. They are bound by privacy and security obligations as our data processors.
  • AI Processing (OpenAI’s ChatGPT): Some features of Biz Card Maverick leverage artificial intelligence provided by third parties. For instance, we might use OpenAI’s ChatGPT or similar AI services to transcribe text from card images, generate summaries, or draft follow-up emails on your behalf. This means that the content of business cards or communications may be sent to and processed by OpenAI’s systems. We only send the minimum data necessary for the AI function, and we do not use AI services in a way that violates those services’ terms or your privacy rights. However, any information processed by OpenAI is subject to OpenAI’s own privacy and security practices.
  • Marketing and Analytics Providers: We may receive aggregated analytics information from tools or partners that help us understand user behavior. For example, we might use an analytics service that tells us how often certain features are used or provides performance metrics. These analytics data do not typically identify you personally, but they help us improve the app and user experience.
  • Additional Affiliates: Biz Card Maverick is affiliated with other organizations (such as Daily News Network and other media or marketing partners under the Client Focused Media umbrella). We may receive information from, or share information with, such affiliates as needed to provide the Services or to support our business operations. All such affiliates are expected to handle your data under privacy practices consistent with this policy.


2. How We Use Your Information

We use the personal and contact information collected through Biz Card Maverick for the following purposes:

  • Providing and Improving Services: To operate the Biz Card Maverick app and website, facilitate the scanning of business cards, store and organize contact details, and personalize your experience. We also analyze usage trends and feedback to improve existing features and develop new ones.
  • Contact Management and Follow-up: A core feature of Biz Card Maverick is to help you efficiently follow up with new contacts. When you scan a business card, our system may automatically draft or send a follow-up email to the contact (the business card owner) on your behalf. Please note: The business card owner is not informed in advance that they will receive an automated email, and as a user of Biz Card Maverick, you cannot disable this automated follow-up feature. We consider this automated email a natural extension of the exchange of business cards in a professional context. The content of these emails may be templated or generated with the aid of AI (e.g., to politely acknowledge the meeting or share your information). You are responsible for ensuring that such communications are appropriate and that you have the right to contact the individual. Each automated email will identify you (the Biz Card Maverick user) as the sender and will provide an opportunity for the recipient to opt out of further communications if they wish.
  • Integration with CRMs and Platforms: To sync and update contact information with connected platforms like CFMedia’s CRM (built on GoHighLevel) or other services you intentionally integrate with. This lets you manage contacts seamlessly across different tools. For example, after you scan a card, the extracted contact info might be automatically added to your CRM or email marketing system so you can further engage that lead.
  • Transaction Processing: To process any payments or subscriptions (using third-party secure payment processors) and to manage your account, including billing and account authentication.
  • Communications: To send you service-related communications, such as confirmations of scans or uploads, important app updates, security alerts, and administrative messages. We may also send promotional communications or newsletters if you have signed up for them, but you can opt out of marketing emails as described in Your Choices below.
  • Support and Responding to Inquiries: To provide customer support, address issues you report, and answer your questions. If you reach out to us, we will use your provided information to help resolve your concern.
  • Legal and Security: To enforce our Terms and Conditions and other agreements; to prevent fraud, spam, or abuse of our Services; and to protect the rights, property, or safety of Biz Card Maverick, our users, and the public. We may also use your information to comply with applicable laws, regulations, legal processes, or enforceable governmental requests.

We will not use your personal information for purposes unrelated to Biz Card Maverick’s Services without your consent, and we do not engage in any form of “selling” your personal data in exchange for money. Any use of your information for targeted or third-party advertising would be done in accordance with your consent and applicable law (and at present, Biz Card Maverick does not use your contact data for third-party advertising or marketing purposes beyond the functionalities described above).

3. How We Share Your Information

We value your privacy and handle your personal information with care. We do not sell your personal data. We only share information in the following situations, and always in accordance with applicable privacy laws and this Policy:

  • Service Providers: We share data with third-party vendors and service providers who perform functions on our behalf. These include, for example, cloud hosting providers (for secure data storage and servers), image processing and OCR providers (to read text from business card images), AI service providers like OpenAI (to facilitate the AI-powered features described above), email delivery services (to send out the automated follow-up emails or other communications), and payment processors. These third parties are given access to information only as needed to perform their support functions, and they are contractually obligated to protect it and use it only for the purposes we specify.
  • Business Partners and Affiliates: If you choose to integrate or sync Biz Card Maverick with external platforms, or if our business operations require it, we share relevant data with trusted partners. For example:
    • Client Focused Media (CFMedia) and Daily News Network: Biz Card Maverick is part of the CFMedia family of services. We may share your information (or the contact data you’ve collected) with CFMedia and its media subsidiary, including Daily News Network, for purposes such as lead management, marketing initiatives, or content production that you have engaged in. Any information shared remains governed by strict confidentiality agreements and is used only to support the Services or related projects you are involved in.
    • GoHighLevel CRM: If your use of Biz Card Maverick involves syncing to CFMedia’s customer relationship management (CRM) system (which is built on GoHighLevel) or another CRM you’ve connected, we will transfer the relevant contact data to that system. This means the information on the scanned business cards will be accessible in the CRM for further sales or marketing follow-up. Conversely, if needed for accuracy, we might pull information from the CRM to display updates in Biz Card Maverick (for example, if the contact’s status or details change in the CRM).
    • Make.com (Integromat): We may send data to or through Make.com to automate workflows you’ve enabled. For instance, Make.com might take a new contact from Biz Card Maverick and create a corresponding lead entry in another system, or trigger an email campaign. Make.com acts under our instructions and does not use your data for any other purpose.
    • OpenAI (ChatGPT API): When we use OpenAI’s AI to process text or generate email content as part of Biz Card Maverick’s features, portions of your data (like the text on a business card or the context for an email draft) are shared with OpenAI’s systems. OpenAI does not receive identifying details beyond what is needed to perform the task (for example, just the content that you want to transform or summarize). We do not share more personal data than necessary for these AI features, and OpenAI is expected to maintain confidentiality of your data. However, using such services inherently involves sending data to an external system. By using the AI-driven features of Biz Card Maverick, you acknowledge that your data will be handled by OpenAI in accordance with their privacy policy and security protocols.
  • Other Affiliates and Successors: We may also share information with our current or future affiliates (companies under common ownership or control with Client Focused Media) to streamline operations, or as part of a corporate transaction (such as a merger, acquisition, or asset sale). In the event of a business transaction involving the Biz Card Maverick product or Client Focused Media, any new owner would be required to honor the commitments we’ve made in this Privacy Policy regarding your personal data.
  • Legal Requirements and Protection: We may disclose your information if required to do so by law or in a good-faith belief that such action is necessary to (a) comply with a legal obligation, such as a subpoena, court order, or government demand; (b) protect and defend the rights or property of Biz Card Maverick, Client Focused Media, or our affiliates; (c) prevent or investigate possible wrongdoing in connection with the Services (such as fraud or security incidents); or (d) act in urgent circumstances to protect the personal safety of users of the Services or the public.
  • With Your Consent: Apart from the cases above, we will share your personal information with third parties only if we have your explicit consent to do so. For instance, if we develop a new integration and you opt in to use it, we will share data as needed to operate that integration, but we will inform you and obtain your consent if any new type of data sharing beyond what’s covered here is required.
  • No Surprise Disclosure: We will not rent or sell your personal data to third-party marketers, and we will not share your contacts or scanned business card details with third parties for their own independent marketing purposes without your consent. Any sharing of data that does occur is primarily to help you use the Services effectively (for example, syncing with your CRM or sending your follow-up communications), or within our affiliated network as part of delivering the Services you signed up for.


4. Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, which may be indefinitely unless you request deletion or we are required by law to dispose of it.

In practice, this means we generally store your account information and scanned contact data until you ask us to delete it, or if we choose to purge data that is no longer needed. There is no automatic expiration date for the contacts you collect — we understand these contacts may be valuable to you long-term, and we will keep them safe for you unless instructed otherwise.

If you request that we delete your data (see Your Choices and Data Rights below), we will take steps to remove your personal information and the contacts you’ve scanned from our active databases. However, please note the following:

  • Residual Copies: Complete or immediate deletion from all systems is not always possible. Your data might persist for a period of time in our routine backups. We maintain backups to ensure we can restore data in case of disasters or errors; these backups are stored securely and are only accessed if necessary for those purposes. Over time, backup data is cycled and older backups containing deleted data will be overwritten or destroyed.
  • Affiliated Systems: If your data (or the data of someone whose business card you scanned) was shared with or synchronized to an affiliate or third-party system (for example, to Client Focused Media’s CRM database, an email marketing list, or another integration you enabled), removing it from Biz Card Maverick’s primary system will not automatically remove it from those external systems. We will inform the relevant affiliate/partner of the deletion request when feasible and take reasonable measures to facilitate deletion on their end, but we cannot guarantee erasure of data that is beyond our direct control. For instance, if a contact was added to your company’s CRM via our integration, you or your company may also need to delete it from that CRM separately.
  • Legal Obligations and Dispute Resolution: We might retain certain information as necessary to comply with legal obligations (such as record-keeping requirements under finance or tax laws), to resolve disputes, or to enforce our agreements. For example, if you made a purchase through Biz Card Maverick, we may retain a record of the transaction as required by accounting and tax rules, even if you delete your account.

In summary, while our default practice is to keep data indefinitely to serve your needs, you have the ability to request deletion. When you do, we will honor the request to the best of our ability by deleting data from our systems and requesting the same of our processors. However, due to the technical and practical limitations described above, we cannot promise that every historical trace of your data will be removed from all archives or partner systems.


5. Your Choices and Data Rights

We strive to provide you – and the individuals whose business cards you scan – with appropriate control over personal data. Different types of individuals (Biz Card Maverick account holders vs. business card contacts) may exercise their rights as follows:

  1. Account Holders (Biz Card Maverick Users):
  • Access and Correction: You can access and update certain account information directly within the app (such as your profile details) or by contacting us. It’s important that your account information is accurate and up to date for effective communication and use of the Service.
  • Deleting Your Account: If you no longer wish to use Biz Card Maverick, you may request that your account and associated data be deleted. You can contact us at the email provided in the How to Contact Us section of this Policy to initiate this process. We will verify your identity and then proceed to remove or anonymize your personal information, as well as the contacts you have scanned, from our primary systems (subject to the limitations noted in the Data Retention section above). Keep in mind that deletion is irreversible – if you request account deletion, all your collected contacts and data may be permanently lost from the app.
  • Opting Out of Marketing Communications: If you have signed up to receive marketing emails or newsletters from Biz Card Maverick or Client Focused Media, you can unsubscribe at any time by clicking the “unsubscribe” link in those emails or by contacting us. Note that you will still continue to receive transactional or service-related communications (for example, password reset emails, billing notices, or important app updates) as long as you have an active account with us.
  • Device Permissions: You have control over certain device-level permissions for data collection. For example, Biz Card Maverick will request access to your device’s camera to scan business cards. You can grant or revoke camera (or photo gallery) access via your device’s settings at any time. If you revoke access, you will not be able to use the card-scanning feature. Similarly, if in the future we request access to your contacts or send you notifications, you can control these permissions in your device settings. We will only request permissions that are necessary for the app’s functionality and we will do so in accordance with platform guidelines (e.g., Apple’s or Android’s requirements).
  • Do Not Track: Our website does not respond to “Do Not Track” signals from web browsers. However, we limit our use of tracking to the purposes described in this policy. If you wish to minimize web tracking, you can adjust cookie settings on your browser as mentioned above.
  1. Business Card Contacts (Individuals Whose Cards Are Scanned):

If your information was collected by a Biz Card Maverick user (meaning you gave someone your business card and they scanned it into our app), you have rights regarding your personal data as well, even though you might not have a direct account with Biz Card Maverick. We process your data on behalf of the Biz Card Maverick user (our client), but we are committed to helping protect your rights:

  • Opt Out of Communications: If you choose to opt out, Biz Card Maverick will inform our user and/or automatically note that preference to prevent future outreach to you through our system. (Please note: This opt-out will cover communications sent using Biz Card Maverick or related CFMedia systems, but it does not automatically remove your contact info from the user’s own address book or other systems outside our control.)
  • Data Access and Deletion Requests: If you suspect that your personal information is stored in the Biz Card Maverick system and you want to know what information we have, or you wish to request deletion of your information, you may contact us as described in the How to Contact Us section. We will attempt to locate any of your personal data (for example, your name, contact info, and any scan of your business card) and, upon proper verification, will delete it from our systems if desired. We strongly encourage business card contacts to reach out if they have any concerns; although we obtained your information indirectly from a user, we want to respect your privacy rights.
  • Limitations: Because Biz Card Maverick users upload your information, we may not be aware of or able to easily identify all instances of your data without your help. When contacting us with a data inquiry, please provide enough detail (e.g., the name of the person you met, the date or event where you exchanged cards, and the email address or phone number that might be in our system) so we can assist effectively. Also note that if your data was already transmitted to a user’s external systems (like their CRM via our integration), you may need to request removal from those systems by contacting that user or the company they represent. We can delete data from Biz Card Maverick, but we cannot force deletion of your information from a user’s own databases or third-party systems that are not under our control.
  1. Additional Rights (California, EU, etc.):

Depending on your jurisdiction, you may have additional rights under privacy laws such as the California Consumer Privacy Act (CCPA) or the EU General Data Protection Regulation (GDPR), among others. These can include the right not to receive discriminatory treatment for exercising privacy rights, the right to data portability, or the right to object to certain processing. Biz Card Maverick (through Client Focused Media) will honor applicable rights requests in accordance with the law. For instance:

  • California Residents: California residents can request information about categories of personal data we have collected or disclosed for direct marketing purposes (note that we do not currently disclose personal data to third parties for their own direct marketing without consent). California residents also have the right to request deletion of their personal information or access to it, as described above. We will treat California privacy requests within the timeframes required by law.
  • EU/EEA Residents: Users in the European Union/European Economic Area (and those in jurisdictions with similar laws) have the right to access personal data we hold about you, rectify any inaccuracies, restrict or object to certain processing in some cases, or request erasure of personal data. Biz Card Maverick operates primarily in the United States, but if you are an EU user or a business card contact from the EU, we will facilitate your GDPR rights. We may ask for proof of identity and sufficient information to locate your data. Any international data transfers will be handled under appropriate safeguards (for example, standard contractual clauses) to ensure adequate protection of your information.

Exercising any of these rights is free of charge. To make a request, please contact us at the contact information provided in the How to Contact Us section below. We will respond as soon as feasible and within any timeframe required by applicable law. If we cannot fulfill your request, we will provide an explanation (for example, if a law requires us to keep certain data, or if we cannot verify your identity or locate your data in our systems).


6. Data Security

We take the security of your information seriously and implement industry-standard security measures to protect your data from unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption: We use encryption protocols (such as HTTPS/TLS) to secure data transmitted between your device and our servers. Any sensitive data (like payment information) is handled via secure, PCI-compliant providers.
  • Access Controls: Internally, access to personal data is restricted to authorized personnel who need it to operate or improve the Services. Employees of Client Focused Media (including the Biz Card Maverick team) with such access are bound by confidentiality obligations.
  • Secure Storage: Personal data and scanned contact information are stored on secure servers (for example, with reputable cloud service providers) that employ robust security measures and regular monitoring. We do not permanently store the images of business cards on your device beyond what’s necessary for processing; once the card is processed and the data extracted, the image may be uploaded to our server and handled in accordance with our retention practices. We may keep the image or a digital copy of the card in cloud storage associated with your account so you can retrieve it later, but this too is protected by security measures.
  • Testing and Safeguards: We regularly review our information collection, storage, and processing practices, including physical security measures, to guard against unauthorized access. We also use technical safeguards like firewalls, intrusion detection systems, and secure authentication procedures to protect accounts. Where possible, we offer additional security options like two-factor authentication (2FA) for user accounts.

Despite our efforts, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security of your data. However, we continuously update and improve our security practices to meet or exceed industry best practices. In the unfortunate event of a data breach that affects your personal information, we will notify you and any relevant authorities as required by law.

  • Your Responsibility: You also play a role in keeping your data secure. Choose a strong, unique password for your Biz Card Maverick account and do not share it with others. Log out of the app or website when you’re finished using it, especially on shared devices. Be cautious about phishing attempts or suspicious emails/messages pretending to be from Biz Card Maverick – we will never ask for your password via email. If you suspect that your account or data has been compromised, please contact us immediately so we can assist in securing your account.


7. Children’s Privacy

Biz Card Maverick is intended for use by professionals in business and networking contexts. It is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13 years old (or under the applicable age of consent in other jurisdictions, which may be 16 in some regions).

If you are under 13, please do not use our Services or provide any personal information to us. If we learn that we have inadvertently collected personal data from a child under 13, we will take prompt steps to delete that information from our records.

Parents or legal guardians who believe that a child under 13 may have provided personal information to us should contact us immediately (see the How to Contact Us section below). We will then take appropriate actions to investigate and address the issue, including deleting the information if required.


8. Third-Party Services and Compliance

Third-Party Links and Websites: Our Services may contain links to websites or services that are not owned or controlled by Biz Card Maverick or Client Focused Media (for example, a link to an affiliate’s site, a news article on Daily News Network, or another external resource). This Privacy Policy does not apply to information collected on any third-party site or service that you access through such links. We are not responsible for the privacy practices of these external sites or services, and we encourage you to review the privacy policies of any third-party websites or services before providing any personal information to them.

Third-Party Integrations: As described above, Biz Card Maverick integrates with and relies on third-party platforms (such as CFMedia’s systems, GoHighLevel, Make.com, OpenAI, etc.) to deliver certain features. We have agreements in place with these providers to protect your data, but their services are also governed by their own privacy terms. We strive to partner only with reputable and security-conscious third parties. However, if you have any concerns about a particular integration, you may choose not to use that feature of our app.

Compliance with Platform Policies (e.g., Apple App Store and Google Play): Biz Card Maverick adheres to all applicable platform rules and guidelines. For example, if you are using our iOS app, we comply with Apple’s App Store privacy requirements and review guidelines. Specifically:

  • We only collect data that is outlined in this Privacy Policy and that is necessary to provide the app’s functionality. When we request access to device features like the camera, it is solely for the purpose of scanning business cards as intended.
  • We respect the choices you make in your device settings regarding privacy (such as whether you allow camera access or permit notifications). We do not attempt to bypass or override your privacy settings.
  • If any tracking of user activity across apps or websites were to occur (which is not a core part of Biz Card Maverick’s current operation), we would implement Apple’s App Tracking Transparency framework to request your permission. As of the effective date of this policy, Biz Card Maverick does not track users across third-party apps or websites for advertising purposes.
  • We have disclosed our data collection and use practices in the App Store’s privacy “nutrition label” for our app, so you can see at a glance what types of data may be collected and how it is used. We are committed to keeping that information up-to-date and accurate.

By using our app from the Apple App Store or any other platform, you are also subject to that platform’s own privacy policies. For example, if you download Biz Card Maverick through the Apple App Store, Apple’s Privacy Policy may apply to certain data (such as basic device information that Apple collects). The same goes for using an Android version via Google Play, etc. We encourage you to review the relevant platform policies for a full understanding of how your data may be handled by those services.

Additionally, Biz Card Maverick and its parent company Client Focused Media may establish new partnerships or affiliations over time. We reserve the right to include additional third-party processors or affiliates in our operations. If we do so and it results in materially different data handling than described here, we will update this Privacy Policy accordingly and notify users as appropriate. Rest assured that any future partners will be held to privacy and security standards commensurate with those described in this document.


9. Changes to This Privacy Policy

We may update or revise this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. If we make material changes to how we handle your personal information, we will take steps to notify you in advance. This may include, for example, posting a prominent notice on our website or within the app, or sending an email notification to the address associated with your account. The “Effective Date” at the top of this policy will always indicate when the last changes were made.

If you continue to use the Services after an updated Privacy Policy takes effect, it implies your acceptance of the revised terms (to the extent permitted by law). If you do not agree to any update, you should discontinue using the Services and you may request that we delete your data as outlined above.
